Create a team and share work with it

Group workspace members into a team, maintain its roster, and give the team access to resources.

Workspace and members

A team groups people so you can give them access together. Use teams when the same group needs several docs, folders, or other resources.

Before you start

People with workspace Member, Admin, or Owner roles can create teams. A team’s Maintainer, a workspace Admin, or the Owner can manage its roster. Guests cannot join a team.

Create a team

  1. Open Settings.
  2. Select Members.
  3. Select Teams.
  4. Select Create team.
  5. Enter a Name.
  6. Add a Description if needed.
  7. Under Members, use People and teams to select the initial roster.
  8. Select Create team to submit the form.

You become a Maintainer of the team you create.

Add members

  1. Select the team’s row in Teams.
  2. Under Members, use Add people or teams… to select someone.
  3. Open their access control.
  4. Choose Member or Maintainer.

Roster changes save immediately. Save applies changes to the team’s form fields, such as its name and description.

Give the team access

  1. Open the resource.
  2. Select Share.
  3. Search for the team in Add people or teams…, or Add people or teams, or invite by email… when email invitations are available.
  4. Select the team.
  5. Open its access control.
  6. Choose Can view, Can comment, Can edit, or Full access.

Good to know

Sharing requires Full access to the resource. A nested team brings its members into the containing team, and later roster changes flow through. Team membership does not by itself grant access to every resource in the workspace.

See roles and permissions for the resource access levels.
