Understand workspace roles and share a document, folder, or other resource with the right access.
Workspace roles control who can administer the workspace. Access to a resource, such as a doc or folder, controls what someone can do with that item.
You need Full access to a resource to change its sharing. Being a workspace Owner or Admin does not automatically give you access to every resource or private conversation.
| Role | What it allows |
|---|---|
| Owner | Workspace administration and ownership actions, including transferring ownership. |
| Admin | Workspace administration, including invitations, team management, and single sign-on settings. |
| Member | Workspace collaboration, including creating teams and creating resources where permitted. |
| Guest | Access through resources shared directly with the guest; no general workspace collaboration rights. |
| Access | What it allows |
|---|---|
| Can view | Read the resource. |
| Can comment | Read and add comments or messages. |
| Can edit | Read, comment, and edit content. |
| Full access | Edit content and manage access or delete the resource. |
Access can also come from a containing folder or a team. Removing a person’s or team’s direct grant does not remove access supplied by another route. The top-level Everyone in workspace control also changes inheritance, as described above. Workspace-wide access does not include guests.
Email invitations to a resource offer Can view, Can comment, and Can edit. Grant Full access directly to an existing person or team. See teams to manage a group together.
